How to Approach a Case Study Interview (Without Panicking)
There's no multiple choice. No hint button. No one is going to tell you where to start. Here's a repeatable 7-step system for any analytics case study.
You sit down. The interviewer describes a scenario. Maybe it's a metric that's declining. Maybe they want you to design a measurement framework for a new feature. Maybe they hand you a dataset and say "tell us what you find."
And now it's on you.
There's no multiple choice. No hint button. No one is going to tell you where to start. This is the part of the interview that separates people who can write SQL from people who can actually solve problems — and most candidates have no repeatable system for it.
Here's one that works. Regardless of the case type.
Step 1: Don't touch the data yet
The single most common mistake I see — and I've sat on the other side of hundreds of these interviews — is candidates diving straight into queries. They hear the prompt and within 30 seconds they're writing a SELECT statement.
Slow down. The first few minutes of a case study are the most important, and you should spend them asking questions, not answering them.
Your goal here is to clearly understand the problem before you try to solve it. That means asking things like:
- What's the actual business question we're trying to answer?
- How is the key metric defined? Who is it important to?
- What's the timeframe and context? Is this urgent or exploratory?
- Has anything changed recently that might be relevant — a new release, a policy change, a seasonal shift?
You're not asking these to stall. You're asking because the answers completely change your approach. A case about a sudden metric drop requires a different investigation than a case about designing metrics for a feature launch. A 48-hour take-home calls for a different depth than a 45-minute live session.
Interviewers love this. It shows you think before you act, which is exactly what they want from someone on their team.
Step 2: Develop a plan
Once you understand the problem, say your plan out loud before you execute it. This is the step most candidates skip entirely, and it's the easiest way to stand out.
It doesn't need to be fancy. Something like:
"Okay, here's how I want to approach this. First, I'm going to [broad exploration step]. Then I'll [focused analysis step]. Based on what I find, I'll [synthesis and recommendation step]."
That takes 20 seconds to say, and it accomplishes three things: it shows the interviewer you have a structured approach, it gives them a chance to redirect you if you're heading somewhere unproductive, and it gives you a roadmap so you don't thrash around aimlessly once you start working.
The plan will evolve as you learn things from the data. That's fine. The point isn't to predict exactly how the next 40 minutes will go. The point is to have a direction before you start moving.
Step 3: Identify key metrics — goals and guardrails
Before you start pulling data, get clear on what you're actually measuring. This sounds obvious but it trips people up constantly.
Every case study has a goal metric — the thing at the center of the problem. It might be a metric you're investigating, one you're designing, or one you're evaluating. Whatever it is, name it explicitly.
But it also has guardrail metrics — related measures that give you context and keep you from drawing the wrong conclusions.
If you're investigating a decline, your guardrails might be adjacent metrics that tell you whether the problem is isolated or systemic. If you're designing a metric for a new feature, your guardrails are the things you don't want to hurt — engagement, retention, revenue. If you're evaluating an experiment, your guardrails are the metrics that tell you whether a seemingly positive result is actually hiding a tradeoff.
When you state your metrics to the interviewer, frame them as goals and guardrails explicitly. "My primary metric is [X]. I'm also going to keep an eye on [Y] and [Z] as guardrails to make sure I'm seeing the full picture." That's a senior-level answer and it takes five seconds.
Defining your metrics upfront prevents the thing that kills most case study performances: wandering. You write a query, get a result, write another query that's only loosely related, and 20 minutes later you have six tables of output and no coherent story. A clear metric framework keeps you anchored.
Step 4: Explore with purpose
Now you start working with the data. But every query, every calculation, every cut of the data should be tied to a question you're trying to answer.
Start broad. Get the lay of the land. Understand what's in front of you — the shape of the data, the key dimensions, the obvious patterns. Then progressively focus in on whatever the problem demands.
The specific moves depend on the case type. You might be segmenting a metric across dimensions to find where a problem lives. You might be defining baselines to evaluate a feature against. You might be checking statistical validity on an experiment. You might be looking for patterns in an open-ended dataset.
What stays constant is the discipline: every time you look at a result, ask yourself "what does this tell me, and what should I look at next?" If you can't articulate that, you're wandering.
A useful habit: after each query, say one sentence to the interviewer about what you found and why it matters. "This tells me [X], which means I should now look at [Y]." This keeps your exploration visibly structured, even when the data is surprising you.
Step 5: Build toward a conclusion
At some point — usually around the 25-30 minute mark in a 45-minute case — you need to shift from exploration to synthesis. A lot of candidates never make this shift. They keep querying until time runs out and then scramble to say something coherent. Don't do that.
Your conclusion should connect back to the business question from Step 1. Whatever the case asked you to do — investigate, design, evaluate, recommend — your synthesis should answer that directly.
Be honest about your confidence level. You're not always going to have a definitive answer in 45 minutes with a limited dataset. That's fine. Interviewers don't expect certainty — they expect structured reasoning and intellectual honesty. "Based on what I've seen, the most likely explanation is [X], though I'd want to verify [Y] before acting on it" is a strong answer.
What's not strong is hedging on everything or presenting a list of observations without connecting them. Your job is to tell a story with the data — here's what the problem is, here's what's driving it, here's how confident I am, and here's what I'd do about it.
Step 6: Recommend — don't just report
This is where good performances become great ones. A lot of candidates stop at findings and then look at the interviewer expectantly. Don't do that. Always close with a recommendation.
A solid recommendation has three parts:
What to do now. Given what you found, what's the immediate next step? Be specific.
What to investigate further. What would you look at with more time or data? This shows you know the limits of your analysis and you're thinking beyond the interview exercise.
What to monitor going forward. What metrics or signals should the team keep an eye on? This shows you're thinking about the problem as an ongoing concern, not a one-time task.
This is the difference between an analyst and a partner. Analysts surface findings. Partners drive decisions. Every interviewer I've worked with weighs this heavily.
Step 7: Communicate the whole time
This isn't really a step — it's something that should be happening throughout. But it's important enough to call out separately.
The case study is not a test you take in silence. You should be narrating your thought process the entire time. Say what you're about to do before you do it. Say what you expected to find vs. what you actually found. Say when something surprises you and what that changes about your approach.
Silence is your enemy in a case study. Even if you're not sure where to go next, say that. "I'm not seeing a clear signal here. Let me step back and think about what other angles might be useful." That's not weakness — that's what good analysts actually do.
The interviewer can't evaluate thinking they can't see. Make yours visible.
The framework, compressed
- Clarify the problem. Ask questions. Understand the metric, context, and what you're being asked to do.
- State your plan. Say it out loud. Give the interviewer a roadmap.
- Define your metrics. Goal metric plus guardrails. Say these explicitly.
- Explore with purpose. Every query tests a question. Narrate as you go.
- Build toward a conclusion. Shift from exploration to synthesis. Tell a story.
- Recommend. What to do now, what to explore further, what to monitor.
- Communicate throughout. Narrate your thinking. Never go silent.
None of this requires genius-level SQL or a PhD in statistics. It requires a structured approach, clear communication, and enough practice that the framework becomes second nature. The candidates who do this well aren't smarter than everyone else — they've just done enough reps that this way of thinking is automatic.
